Diary

The Diary is equivalent to a Front Desk Log book. It is archived automatically by Skyware Systems on a daily basis if there is any entry. It is open for input by all staff .

Select Diary from the Action Bar.

The Diary screen display is split into two frames, with the left side of the screen listing any Diary entries for the property by date and the right side containing the fields you need to complete in order to add or edit a Diary entry for the property. Any changes made on the right, once saved, will be updated in the listings to the left.

The current Diary entries are displayed by Date and are organized with most recent first (today's date) by default. You can reverse this, or you can search for the Diary entry on a specific date.

Selecting any Diary entry will display the details on the right.

You can read any previous entries by displaying the details, you can select the entry for today's date and read/complete/add to the fields, or you can generate a new entry (useful for notes on for future dates).

Generate a new entry:

Click the New Generate New Entry button button from the toolbar to add a new Diary entry.

Complete the fields described below.

OR:

Select an existing Diary entry from the list on the left, and click the Replicate Replicate Current Entry button button from the toolbar.

 

Date: The Date is a required field and if you select a date from the listing on the left is automatically completed. If you generate a new entry or replicate an entry, the date must be selected using the drop-down menu boxes or the calender display.

Note: You cannot save duplicate entries for the same date.

Weather: This box may be completed for a new entry with a future date, or today's date. If you are generating a new entry for a previous date, you MUST complete this box BEFORE saving the entry. If the field is grayed out (as in Diary entry records) it can no longer be completed.

Diary: This is a free-form data entry point, and you may add any text you wish to this field. Again, you cannot add data to any records for previous dates. If you are generating a new entry for a previous date, you MUST complete this box BEFORE saving the entry.

Note: The Diary entries can be viewed by any member of staff and may be utilized as a bulletin board, a daily record, or a location to post important memos for Front Desk staff. It is up to you!

Note: The Diary is different to the Staff Reader Board. The Staff Reader Board has a tab for Front Desk messages, and may be changed by anyone with access, BUT it is static until altered, and there is no date associated with the changes. See Staff Reader Board for more details.
